Ella Software, LLC ("Ella," "we," "us," or "our") is committed to using AI responsibly — especially in the context of education and child support. This page explains how AI works within Ella, what data AI providers receive, and the principles that guide how we build and deploy AI features.

Ella uses AI to generate visual supports — stories, schedules, picture cards, worksheets, games, and strips — from the information you provide. You describe a situation, routine, or skill, and Ella generates material you can review, edit, and use.
AI-generated content is a starting point, not a finished product.
Ella sends AI providers only what is needed to generate the content you request:
Ella does not send AI providers your account credentials, email address, billing information, or account-profile data.
Character details are transmitted as you enter them
If you enter a child's first name and age to personalize a story, that information is sent to the AI provider as part of the request. The model needs it to generate content that reads naturally and matches the child's developmental level.
Ella asks for no more than a first name or initial, age, gender, and a written physical description, and none of it is required. You can use an initial, a nickname, or select a default character instead.
Character images are generated from written descriptions
Ella creates character images from the text description you provide. Ella does not support uploading a photo of a child or any other person to generate a likeness, and does not process facial images or biometric identifiers.
Ella does not collect or transmit educational records
Ella generates visual supports from the context you provide — a situation, a routine, a behavior to model. It does not use or require IEPs, academic performance data, diagnoses, evaluations, or other student records. Ella has no feature for uploading them.
Prompts and descriptions are free text
Because you control what you type, a prompt or character description could contain more information than Ella asks for. Please enter only what is necessary for the visual support you need.
The character description field is intended for physical appearance — hair color, eye color, clothing, and similar details. Please avoid entering diagnoses, medical details, education records, or information about a child you are not authorized to share.
Photos should not include people
Ella's photo-upload feature is for places and objects. Please do not upload photos of children or other identifiable individuals.
Ella does not use your inputs or generated content to train, fine-tune, or improve any AI model. This applies to everything you create: character details, prompts, schedule content, uploaded photos, and generated output.
Ella accesses AI providers through developer and enterprise API tiers, which — unlike consumer-facing chat products — do not use customer inputs or outputs for model training. Under the API terms governing Ella's use of these providers, Ella customer content is not used for model training or model improvement, and Ella does not opt in to any optional program that would permit it.
Ongoing monitoring of provider terms. Ella relies on these providers' standard enterprise and developer API terms, which are publicly available and subject to change by the provider. Ella reviews its AI providers' published API and data-usage terms on a recurring basis, and assigns internal responsibility for that review. If a provider materially changes its terms in a way that affects how Ella customer content is handled, Ella will update this policy and, where the change is material to users, provide notice by email or a notice on our website.
Product improvement. Separately from AI model training, Ella reviews aggregated and de-identified usage metrics — such as feature usage counts, generation success and error rates, and performance data — to improve the product. This does not involve using your content to train AI models and does not identify you or any child.
Retention at AI providers. Retention practices vary by provider and are set by the provider, not by Ella. As of the date of this policy, some providers retain inputs and outputs for a limited period — commonly up to 30 days — for abuse monitoring, safety, and security purposes before deletion; others retain nothing by default. In all cases, retained content is subject to the provider's contractual prohibition on using it for model training. Ella does not enable optional logging or data-sharing features that would extend retention or permit training beyond what a provider applies by default. Current provider-specific retention practices are reflected in the sub-processor list described below.
Ella retains your prompts, character configurations, and generated content within your account so you can access and reuse your materials, as described in our Privacy Policy.
AI-generated content on Ella is a draft. Users are expected to review, edit, and apply their own professional judgment before using any visual support with a child.
Ella does not make clinical, therapeutic, or educational decisions. All output is a tool to support the work of the professional or caregiver using it. Ella is not a substitute for professional evaluation, clinical judgment, or an individualized education program.
You control the content in your account:
Deleting content from your account removes it from Ella's active systems. Retention timelines, backups, and full account deletion are described in our Privacy Policy.
Data minimization. Ella is designed so effective visual supports can be created without student records, diagnoses, or detailed personal information. The most Ella asks for is a first name or initial, age, gender, and a written physical description — and none of it is required.
Safety. Ella's AI features include content guardrails and filtering controls designed to reduce inappropriate or harmful output. Because automated safeguards are not infallible, adult users must review generated content before using it with a child.
Fairness. AI models can reflect biases present in their training data. We review Ella's outputs for quality and appropriateness, and we encourage users to flag content that seems off.
Transparency. We aim to be clear about what AI does and does not do on our platform. If our models, data practices, or capabilities change in a meaningful way, we will update this page and notify users.
Continuous improvement. We monitor AI performance, review user feedback, and update our approach as the technology evolves. AI in educational and therapeutic contexts is an active area of development, and we take seriously our responsibility to stay current and respond to problems as they arise.
If Ella generates content that is inappropriate, inaccurate, or concerning, please report it to hello@ella.kids. We review all reports and use them to improve our guardrails.
Ella uses third-party AI providers to support content-generation features. Ella's AI providers are prohibited under the applicable API terms from using Ella customer content to train or improve their models, or from using it for any purpose other than providing services to Ella.
Ella publishes a current list of its AI sub-processors, including their functions, processing locations, and applicable retention practices, at ella.kids/subprocessors. You may also request a copy at hello@ella.kids. School and district customers may subscribe to advance notice of material changes to sub-processors by emailing hello@ella.kids, or as otherwise provided in their agreement with Ella.
Ella is an adult-facing service. Students do not create accounts, log in, or interact with the service directly.
When Ella processes information on behalf of a school or district, it does so only to provide, maintain, secure, and support the contracted service, and as directed by that school or district. Ella does not use that information for advertising, profiling, or AI model training.
Where Ella has entered into a data privacy agreement or similar written agreement with a school or district, the terms of that agreement govern data covered by it and control over any conflicting term in this AI Policy.
Schools and districts may contact hello@ella.kids to request Ella's district-level data privacy agreement or to discuss an applicable state Student Data Privacy Consortium agreement.
We may update this policy as our AI capabilities or provider terms evolve. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated by email or a notice on our website.
